Printers: the basic functions

This manual describes how to use the basic functions of a multifunctional.

All over the University you can find so-called “Multifunctionals” (type of XEROX WorkCentre 7855). There is no difference between Multifunctionals for students or staff. The Multifunctional can be recognized by the appearance as shown above. The basic functions of the Multifunctional include:

Copying (step 1 – 5)
E-mail (step 6 – 11)
Printing (step 12 – 16)
ID Card Copy (step 17 – 21)

  • Step 1

    Steps: Copying (step 1 – 5)

    Sign in to the Xerox Multifuncitonal. Press “Copy” in the main menu.

  • Click on an image to enlarge it.

  • Step 2

    Place the original (single sheet) on the glass (2) or place it in the top loader (1) in which you can insert sets of multiple pages.

    The copies end up in the right tray (3).

  • Step 3

    Then choose whether you want to copy in black@white or color, or to detect the original automatically.

     You can also resize your outcome here (from A4 to A3 or back and forth), or from double-sided to single-sided. You can also add staples to your document.

     Use the other tabs to adjust other settings such as print quality (advanced).

    Press the “?” Button for help (key 7).

  • Always leave paper feeding stand at Auto selection, unless you use your own paper (Tray 5).

     

  • Step 4

    Press the green start button (key 15). The copy is made now. If you want to copy more, repeat from step 2. Are you ready, proceed to step 5.

  • Step 5

    Do you want to procees copying or printing?
    Then press the gray “cottage” button on the printer itself (key 1).

    Else sign out on the Multifunctional. This is done by moving your pass along the printer, or press the key button (key
    6).

  • Step 6

    Steps: Scan to Email (step 6 – 11)

    Sign in on the Multifunctional. Press “E-mail” in the main menu.

  • Step 7

    Place the original (single sheet) on the glass (2) or  in the feeder above (1) in which you can insert sets of multiple pages.

  • Step 8

    The following (upper) screen is displayed.

    Set whether you want to scan in black & white or color, or
    you want to scan single-sided or double-sided, etc.

    Your email address will be automatically filled in (to which the PDF / a file is sent). You can add other
    recipients.

    Use the other tabs to change settings like scan quality (advanced).

    Press the “?” Button for help (key 7).

  • Step 9

    The settings of your document.

    If you want to change the PDF/a to another filetype, press the attachment button (see picture in step 8) to enter this screen.
    Here you can change the filename and type of the scan (default PDF / a).

  • Step 10

    Press the green start button. The scan is being made.
    If you want to scan more, repeat from step 8.

    Are you ready, proceed to Step 11.

  • Step 11

    Do you want to procees copying or printing?

    Then press the gray “cottage” button on the printer itself (key 1).

    Else sign out on the Multifunctional. This is done by moving your pass along the printer, or press the key button (key
    6).

  • Step 12

    Steps: Printing (step 12 – 16)

    Sign in on the Multifunctional. Press in the main menu on “Printen”.

  • Step 13

    Select the job (s) you want to print. Default all jobs are selected. Want to print everything? Proceed to Step 14.

    The button with the four check marks (1) (de-)selects all jobs at once.

    The check buttons (2) you can (de-)select jobs separate.

    With the recycle bin (3) you can remove print jobs.

  • Step 14

    press the printer icon to print your selected jobs or the green button (15) on the Multifunctional itself.

    Print no more than 5 documents at a time. Your jobs are lost when a malfunction occurs.

  • Step 15

    Do you want to preceed copying or scanning?
    Press the gray “cottage” button on the printer itself.

  • Step 16

    Select the print jobs you want to print. All print jobs are selected by default.

    You can (de)select all print jobs at once with the icon with four checked boxes (1)

    Check the boxes behind the print jobs you want to print (2)

    You can delete the print jobs by pressing the icon with the bin (3)

  • Remember to sign out if you are finished using the printer!

     

  • Step 17

    Steps: ID Card Copy (step 17 – 21)

    Sign in on the Multifunctional. Press “ID Card Copy” in the main menu.

  • Step 18

    Put your ID card top left of the scanner glass.

  • Step 19

    The screen on the display you can set the number of copies.

    In the general settings tab, you can change the color and size of the ID copy.

    (check if paper output settings is A4).

    If the settings are correct, press “scan front”.

  • Step 20

    Turn your ID card and press “scan back”.

  • Step 21

    Do you want to proceed copying or printing?
    Then press the gray “cottage” button on the printer itself (key 1).
    Else sign out of the Multifunctional. This is done by moving your pass along the printer, or press the key button (key 6).

  • F.A.Q.

    By manually indicate a scan area and turning off the auto recognition.
    Go to the “Layout Adjustment” tab by Email, and then customize the Original Size.

    Your Solis ID and password (to logon to the printer). A card with an RFID chip (for example, a public transport card) to quickly and easily
    logon to the printers (you card will not be used for payment). How to do this, read the posters at the printers

    If you stand in front of the Multifunctional, the screen looks like this. Here
    you can see the meaning of the buttons.

    Students can upgrade your print credit through www.uu.nl/printtegoed

    Employees don’t need print credits. 

    • Your balance is visible on the Multifunctional,
      press in the main menu “[Inepro DocuPRO]”, you can see your current balance now.
    • Log into the transaction portal on the website http://printportal.uu.nl

    Please note: your balance and number of prints on printportal.uu.nl are not always updated while printing. Sign out and in to see your updated balance.

    You can use the “key” button to login or logout. If you use it to logout, you will be logged out immediately without additional confirmation.

    If you logout from the Email (scan to mail) menu, this warning is shown.
    The system expects you to return to the main menu first before you log out.
    Ignore it because your scan is send.

    No, not (always) sensible.
    If you do this while you are still logged in, the expected consequences are:
    – all released print jobs are removed;
    – you pay for all released prints regardless of whether they are printed or not, there is no money refund.

    The advice is to logout.
    This way you are assured that the costs of the released documents will be refunded.
    You do have to send the documents back to the printer. On another printer, release your documents in small batches.
    A released document is downloaded to the harddisk of the printer and deleted immediately after logout.

    At each Multifunctional there are manuals in two languages with brief instructions for the four basic functions and how to link a (RFID) print pass.
