Printers: Scanning with OCR

This manual describes how to send a document to your mail with searchable text.

  • Step 1

    Log on to the printer, choose scan to mail and click on attachment.

  • Step 2

    If desired, change the file name and choose the type of document (PDF, PDF-A, JPG, etc.). Press the arrow next to the filetype to see all types in the pulldown menu and extra options.

  • Step 3

    Click “Custom” right below for additional options.

  • Step 4

    Set searchable on “yes”.

    You can create a searchable document. This process is called OCR (Optical Character Recognition). Choose filetype PDF or PDF-A format. you get a picture of the original document text can be searched.

    Confirm with OK, then OK once more and you will return to E-mail screen.

  • Step 5

    Recommended is to choose 300 dpi resolution. Click on the tab “Advanced Settings” followed by the “Resolution” button.

  • Step 6

    Set the resolution to 300 dpi, recommended for automated processing and OCR. press OK. Press the green “Start” button to send your document.
